At TripKaros, we understand that travel plans can change unexpectedly. Our cancellation and refund policy is designed to be fair and transparent, ensuring clarity for our valued customers.
1. Cancellation Policy
1.1. Cancellation by the Customer
- More than 30 days before departure:
- Refund: 75% of the booking amount.
- Deduction: 25% retained as a processing fee.
- 15 to 30 days before departure:
- Refund: 50% of the booking amount.
- Deduction: 50% retained to cover administrative costs.
- 7 to 14 days before departure:
- Refund: 25% of the booking amount.
- Deduction: 75% retained due to advance commitments.
- Less than 7 days before departure:
- Refund: No refund available.
- Reason: Cancellations at this stage result in significant operational costs.
1.2. Cancellation by TripKaros
- Unforeseen Circumstances:
- If we cancel a trip due to unforeseen events (e.g., adverse weather, governmental restrictions, safety concerns), customers will receive:
- Option 1: A full refund of the booking amount.
- Option 2: An opportunity to reschedule to a future date.

- Force Majeure Events:
- In situations beyond our control (e.g., natural disasters, political unrest), refunds will be assessed on a case-by-case basis after deducting any non-recoverable costs.
2. Refund Process
- Processing Time:
- Refunds will be processed within 7-14 business days from the date of cancellation.
- Refund Method:
- Refunds will be credited to the original payment method used during booking.
- Non-Refundable Charges:
- Convenience fees, processing charges, and bank transaction fees are non-refundable.
- Partial Cancellations:
- In cases of partial cancellations (e.g., removing a traveler from a group booking), refund eligibility will be determined individually.
3. No-Show & Early Departure
- No-Show Policy:
- Travelers who do not arrive at the scheduled departure time will be considered no-shows and are not eligible for any refund.
- Early Departure:
- If a traveler chooses to leave the trip early, no refund will be provided for unused services.
4. Rescheduling & Modifications
- Advance Notice:
- Requests for date changes or modifications must be made at least 10 days before departure.
- Subject to Availability:
- Rescheduling is subject to availability and may incur additional charges based on the new travel dates or services.
5. Special Circumstances
- Medical Emergencies or Unavoidable Situations:
- If a customer cancels due to genuine emergencies, refund requests will be evaluated on a case-by-case basis. Supporting documentation may be required.
