Terms and Conditions for TripKaros

Welcome to TripKaros! By booking a trip with us, you agree to abide by the following terms and conditions. Please read them carefully before making a reservation.


1. Information Collected and Processed

When you use our Services, we collect and process various types of information to provide a personalized experience. Information may include:

  • Personal Information: Contact details (name, phone number, email, etc.), payment and billing information (credit card details, bank account info, etc.), travel preferences, and communications with customer service.

  • Usage Data: Online activity, including pages visited, content viewed, apps reviewed, and purchasing history.
  • Third-Party Data: Information obtained from third-party services for logging into social media platforms, and any details shared with us from third-party websites you visit through our Services.

We may also collect information about other travelers if shared by you, ensuring consent is obtained from the individuals involved.


2. Booking & Payments

2.1. Booking Process: All bookings must be made through our official website, authorized agents, or customer service team.

2.2. Deposit: A minimum deposit of 25% is required to confirm a booking, with the remaining balance due 15 days before departure.

2.3. Payment Deadline: Failure to make the final payment before the due date may result in automatic cancellation without a refund.

2.4. Price Changes: Prices are subject to change based on availability, currency fluctuations, and government regulations.


3. Cancellations & Refunds

3.1. Customer Cancellations: Customers can cancel their bookings as per our Cancellation & Refund Policy.

3.2. Company Cancellations: TripKaros reserves the right to cancel or modify any trip due to unforeseen circumstances. In such cases, customers will be offered an alternative itinerary or a full refund.

3.3. Refund Processing: Refunds will be processed within 7-14 business days and will be credited to the original payment method.


4. Travel Documents & Requirements

4.1. Documentation: Travelers must possess valid passports, visas, permits, and any other required documents.

4.2. Responsibility: TripKaros is not responsible for denied entry due to incomplete or incorrect travel documents.

4.3. Compliance: It is the traveler’s responsibility to comply with all immigration, health, and safety regulations.


5. Health & Safety

5.1. Fitness: Travelers must be physically fit to participate in the selected tour.

5.2. Medical Disclosure: Any pre-existing medical conditions must be disclosed before booking.

5.3. Right to Refuse: TripKaros reserves the right to refuse service to travelers deemed unfit for the trip for safety reasons.


6. Information Uses and Purposes

We use your information to:

  • Account Management: Register, manage, and provide access to your account and services.
  • Facilitate Bookings and Payments: Process payments, handle bookings, and send promotional offers.
  • Improve Services: Analyze data to optimize user experience and personalize content.
  • Communication: Notify you of special offers, respond to inquiries, and facilitate customer service.
  • Legal Compliance: Resolve disputes, prevent fraud, and comply with laws and regulations.

7. Itinerary Changes & Force Majeure

7.1. Modifications: TripKaros may modify the itinerary due to weather conditions, political instability, or operational constraints.

7.2. Force Majeure: In case of force majeure (natural disasters, government restrictions, pandemics, strikes, etc.), refunds and rescheduling will be handled on a case-by-case basis.


8. Travel Insurance

8.1. Recommendation: Travel insurance is strongly recommended to cover trip cancellations, medical emergencies, lost baggage, and other unforeseen events.

8.2. Liability: TripKaros is not responsible for any loss, injury, or damage during the trip.


9. Code of Conduct

9.1. Compliance: Travelers must adhere to local laws, customs, and cultural norms.

9.2. Behavior: Disruptive or inappropriate behavior may result in removal from the trip without any refund.

9.3. Illegal Activities: Vandalism, theft, or illegal activities will be reported to local authorities.


10. Liability & Disclaimers

10.1. Third-Party Services: TripKaros acts as an intermediary between travelers and third-party service providers (hotels, transport companies, guides, etc.). We are not liable for deficiencies in services provided by third parties.

10.2. Personal Responsibility: We are not responsible for any personal injury, illness, death, loss, or damage of personal belongings.

10.3. Assumption of Risk: Travelers assume full responsibility for their personal safety and belongings.


11. Complaints & Dispute Resolution

11.1. Reporting: Any complaints regarding the trip must be reported immediately to our tour manager for resolution.

11.2. Jurisdiction: Disputes, if any, shall be settled under the jurisdiction of Delhi courts.


12. Information Sharing

We may share your information under certain circumstances such as:

  • With Third Parties: To improve your experience or facilitate third-party services, such as social media logins, customer service, and marketing.
  • Legal Requirements: To comply with legal requests, subpoenas, or to protect the rights and safety of our business and users.
  • Corporate Transactions: In the event of a merger, acquisition, or asset sale, your information may be transferred.

We reserve the right to share your data if we believe it’s necessary to comply with legal obligations or protect our rights.
